Problem
to be solved
Vintech
is a company who staffs EMT and paramedic ambulance
resources to towns in Northwestern Connecticut. At the
time they approached us they were staffing ambulances
for thirteen towns. Since the inception of the project,
that number has grown to sixteen.
The
staffing of ambulances entails matching scheduling requirements
from the towns with the availability of the trained
medical personnel. The scheduling procedure is currently
a manual effort and consumes 90% of the time of one
of the partners. Last minute changes and cancellations
are handled by making numerous phone calls, looking
for an additional resource to fill the void.
Their
staffing service has caught the attention of many other
towns throughout Connecticut and Vintech
is currently looking at taking on additional towns.
Given their current manual procedures, the additional
towns could make maintaining their current service level
unobtainable.
Solution
The
first issue was to provide facilities for subscribing
towns to enter their requirements directly into the
system via a Web-interface.
This allowed towns to plan and maintain their scheduling
well in advance with and easy-to-use interface to know
when slots were scheduled and by whom.
A
similar function was created for the medical personnel
who were to be scheduled in the ambulances. The EMTs,
paramedics and others have the ability to enter their
availability directly into the system via a Web interface.
They may also indicate their geographic locations.
The
next issue was to automate the scheduling process. With
all the requirements of the towns along with the availability
of the medical personnel, the system was built to automatically
match the two. This automated process will schedule
the bulk of the requirements.
There
will be holes in the schedules where there are no personnel
available to fill a particular need of a town. It is
here that an elaborate alert system
had been built to identify those critical situations
and communicate those needs to
the appropriate personnel within the company.
This is done through email or pagers.
The
alert system provides more than just notification of
unscheduled ambulance requirements. It also handles
cancelled appointments, late sign-ins for a shift, and
last minute requirements.
Creative
Solution
The
Vintech Web site
was developed both structurally and from a branding
perspective to address the unique relationship between
content, functionality and visual communication.
Because
of the cutting-edge technology, the look and feel of
the Web site was developed to reflect the company's
dynamic process of staffing emergency medical technicians.
Navigation and color is especially key to the company
in order to express new technology, growth and ease-of-use
for both users and prospects. We
gave the company a brand that will be remembered and
will be consistently recognized in the industry.
With
this new look and feel developed, collateral
materials, direct mail and advertising will be put in
place to further enhance the services and the products
of the company to increase awareness to the target
audience.
